Westlake Realty Group – Property Assistant
Scope of Responsibilities
In cooperation with the Property Manager, Vice President & General Manager of Commercial Properties, Accounting Department, Leasing Staff, and other Westlake employees or departments, the Property Assistant will work to meet the administrative demands of the Property Management Team to assure a high level of professionalism regarding all property management issues, including timely response to and resolution of any owner/tenant requests or concerns.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
1. Assist the Property Manager and on occasion the Vice President-Commercial Division in their duties.
2. Perform advanced, diversified and confidential administrative duties.
3. Interact with tenants and vendors.
4. Prepare and organize correspondence, reports, filings, certificate and other documentation involved in commercial leasing of properties.
5. Coordinate on-going departmental projects.
6. Screen telephone calls and visitors.
7. Schedule appointments and meetings.
8. Filing, operating copy, fax & scanning machines.
9. May interface with company counsel and outside counsel.
10. May handle confidential materials.
Financial Responsibilities
• Assist in the development of the annual budgets
• Review weekly delinquency reports and call/write tenants as necessary to collect past due amounts. Maintain log of current and past collection efforts/problems. Coordinate default proceedings with Property Manager as necessary
• Prepare/process invoices for tenant reimbursement and/or reconcile tenant charges
• Prepare other reports as required
• Scan and code all invoices to appropriate property and expense category
Operations
• Coordinate tenant move-in/move-out procedures with Property Manager. Worth with tenants to ensure a smooth transition process regarding any move in and move out concerns.
• Schedule and coordinate required maintenance of building systems such as the Fire and Life Safety System.
• Advise Property Manager of operational problems as required
• Coordinate/monitor service contracts. Report any non performance to Property Manager.
• Maintain personal contact with all tenants
• Update tenant handbook information
• Update tenant data base
• Arrange/update tenant signage directories as required
• Maintain current Certificates of Insurance (COI’s) for tenants and vendors
• Perform property inspections as necessary or as requested by Property Manager
• Meet with tenants and vendors for requests of issue resolution as requested by Property Manager
Administrative Responsibilities
• Provide full administrative support for Property Manager, including phone support, typing of correspondence (as requested), filing and distribution of correspondence
• Ensure that tenant maintenance problems are appropriately addressed
• Develop and maintain courteous rapport with tenants, colleagues, and vendors
• Notify Property Manager of any potential problems with tenants and issues potentially affecting the properties
• Manage lease files, tenant database, vendor files, certificates of insurance
Knowledge and Skills Required
This position requires an understanding of basic accounting methods, lease documentation, real estate, and customer service/tenant relations. A basic understanding of architecture and construction is desirable. Skills include being computer literate in Work and Excel. Ability to draft well-organized letters is required. Strong organizational skills and attention to detail are mandatory.
Chief among interpersonal skills is the ability to work well with others in all aspects of the position. Other attributes include orientation to detail, thoroughness, analytical skills, excellent verbal and written communication skills, and the ability to make thoughtful decisions sometimes under pressure and/or in stressful situations. This position requires a personality that works effectively to resolve conflicts and avoids confrontation through personal credibility and excellent oral and written communication skills. A Property Assistant must be able to perceive and creatively respond to any problem, whether it is maintenance, tenant resolutions, or owner relations.
Education and Experience
Education/Experience Associate of Arts degree or equivalent acceptable; Bachelors degree preferred. Property management certificate preferred.
Familiarity with property management accounting and financial reports helpful.
Must be a mature individual who is able to handle emergencies, tenant concerns and complaints, and meet necessary timelines.
Requires comprehensive skill and knowledge of organization policies and practices.
Reasoning Ability: Must have excellent people skills and the ability to problem solve in routine or emergency situations, use reasonable judgment in decision making and application of job duties.
Computer Skills: Must be able to operate a computer with moderate proficiency with Microsoft Office, Word, Excel, PowerPoint, Windows, Outlook, and knowledge of property management software; knowledge and use of the Internet; and use a telephone, copier, fax and other basic business machines.
Excellent communication skills (both verbal and written communication skills).
Multi-tasking abilities in a fast-paced business environment.
Supervisory Responsibilities:
